OVERVIEW

You can be prepared with our Special Event Liability Insurance. This insurance provides protection when you host activities that fall outside the scope of your General Liability Insurance or in instances where you do not currently carry General Liability Insurance. Event Liability Insurance provides liability coverage and legal defense for claims of negligence brought on the basis of mismanagement, improper security, failure to maintain equipment/fixtures, and more.

As you plan your event, it's essential that you make the appropriate insurance arrangements. Don't put it off; take care of the insurance now!

Event Eligibility

NOTE: Accident Medical only applies if you are having a sporting event/activity (see the Hazard Class Chart below).

 

Student Organization On-Campus Events

If you are applying for coverage for an On-Campus hazard class 1 event, it is automatically insured by your University and no further action is required.* For On-Campus hazard classes 2 & 3, you may obtain a Certificate of Insurance by submitting your application online or by clicking on “Download Application” (to the right) and completing the paper application. If you are applying for coverage for an On-Campus hazard class 4 event, a paper application is always required; please allow 7-10 business days for further underwriting review. Once completed, the application may be emailed to [email protected].

Student Organization Off-Campus Events

If you are applying for coverage for an Off-Campus hazard class, 2 or 3 event, you may obtain a Certificate of Insurance by submitting your application online or by clicking on “Download Application” (to the right) and completing the paper application. If you are applying for coverage for an Off-Campus hazard class 4 event, a paper application is always required; please allow 7-10 business days for further underwriting review. Once completed, the application may be emailed to [email protected].

If your event is not listed, please either contact us at 1-866-838-9536, Monday – Friday, 8am-5pm (CT) or via email at [email protected] or you may simply click on “Download Application” (to the right), complete the paper application and email it to us.

 

DISCLAIMER/EXCEPTIONS

If any of the following applies to the event, please download and complete an application and email it to AMBA at [email protected].

  • Involves more than 5,000 people
  • Products coverage is available up to $10,000 in products sales. If your sales exceed $10,000, this coverage is available at an additional cost and you must fill out an application. 
  • It is a sporting event. Sporting events require Accident/Medical Coverage for participants. To purchase medical coverage click on the Accident/Medical link on the first page of your event liability insurance application to confirm if your event requires Accident Medical Coverage. If your event involves participants (i.e. a sporting event), you must have Accident Medical coverage in force. To purchase Accident Medical coverage, please visit the Accident Medical page on this website.
  • Requires Garage Keepers Coverage - Covers damages to your guests' vehicles caused by you if you provide parking for guests vehicles. If you are not parking vehicles at your event, you do not need this coverage. If a vendor, hired by your organization, is parking vehicles at your event, the vendor must provide a Certificate of Insurance naming your organization and Wright State University as additional insureds.
  • Requires Garage Keepers Coverage - This policy does not provide coverage for damage to customers’ vehicles if you are providing valet service. If you need this coverage please click here to complete an application.
  • Requires Auto Coverage
  • Includes Amusements (examples include rock walls, trampolines)
  • Includes Inflatables
  • Alcohol is being served
  • Includes Tents (any rented or owned tent larger then 10’x10’)


Also, if there will be vendors (caterers, DJs, entertainers, etc.) at the event they must provide a Certificate of Insurance naming the applying organization and your University as an Additional Insured.

Note: Accident/Medical only applies if you are having a sporting event.

If a vendor/exhibitor, or performer does not have liability insurance, they may apply for coverage by either selecting Apply Now on the TULIP/Tenant User Liability Insurance page or by downloading and completing the TULIP Application and emailing it to [email protected].

IMPORTANT INFORMATION

Participants Legal Liability 
provides coverage for claims you are legally obligated to pay because of actions brought against you, the Named Insured, by players and/or other participant's. Participant means any player, coach, manager, staff member, team worker, official, media personnel, cheerleader, or band member practicing for, or participating in, the sporting event. This means all of your team members and players and any participating non members! Participant liability insurance, like all liability policies, would provide coverage to the injured party only if the Tenant Holder listed as the insured in the Certificate of Insurance issued to the Tenant User were liable.

****Failure to comply with one, or both, of the following requirements will affect Participant Legal Liability in place for any event even if a Certificate of Insurance is provided.****

Depending on the type of event for which you are applying for coverage, you may be required to have Accident Medical Coverage in place. Examples of participant events that will require Accident Medical Coverage are basketball, dance performances/competitions, baseball, cheerleading and football (both contact and non-contact). Examples of events that do not require Accident Medical Coverage in place are association, civic club and business meetings. Read below for further information, and click on the Accident/Medical link on the first page of your event liability insurance application to confirm if your event requires Accident Medical Coverage.

If your event involves participants (i.e. a sporting event), you must have Accident Medical coverage in force. Please visit the Accident Medical product page on this website for additional information about how to apply for a quote.

You must also have a Waiver and Release form system that is regularly maintained. This system must secure and maintain properly executed Waiver and Release forms for all participants. For minor participants (under eighteen years of age) you must always secure and maintain properly executed Minor Waiver and Release forms signed by the parent or legal guardian.

    1. Gather the Facts

      When reporting a notice of loss, please provide as much detail as possible. This should include, but not be limited to, Insured Name, Contact Name, Policy Number, Date of Loss, Location of Loss, Cause of Loss, Your Policy or Reference Number, Initial Steps Taken to Mitigate the Loss, Type (s) of Damage and Estimated Amount of Loss.

  • What type of insurance do I need?

    Phily’s general liability and accident medical programs cover a wide variety of sports activities and non-sports special events. Accident medical insurance is only required when there is an athletic activity exposure.
